Privacy Policy


1. Definitions

"Sandman"
Refers to the Sandman Hospitality Management System.

"Software"
Refers to the software solutions and services provided by Sandman Hospitality Management System.

"You"
Refers to you, your company or the organization you represent, your employees, and others whom you have granted access to Sandman's services.

"Organization"
Refers to you, your company or the organization you represent, your employees, and others whom you have granted access to Sandman's services.

"Account Holder"
Refers to the person who initially subscribes to Sandman's services on behalf of self or a business or organization.

"Administrator"
The Account Holder and / or designated administrator(s) of the Organization.

"Agreement", "Terms"
Refers to the Terms of Service agreement in this document.

"Website"
Refers to the internet site at the www.sandmanbooking.com domain, including subdomains.

"Access Fee"
Access Fee is the fee payable by you to Sandman, in accordance with the fee schedule for your selected plan. Sandman reserves the right to change fees at any time. Sandman will make every effort to communicate these changes to you via email or notification via the Website.

"Confidential Information"
includes all information exchanged between the parties to this Agreement, whether in writing, electronically or orally, including the Software but does not include information which is, or becomes, publicly available other than through unauthorized disclosure by the other party.

"Data"
Refers to any data inputted by You into the Software.

"Intellectual Property Right"
Refers to any patent, trade mark, service mark, copyright, moral right, right in a design, know-how and any other intellectual or industrial property rights, anywhere in the world whether or not registered.

2. Data Ownership

Data entered by You remains your property, and Sandman will not use nor make available for use any of this information without your permission. However, your access to the Data is contingent on full payment of the Sandman Access Fee. You must maintain copies of all Data inputted into the Software. Sandman will maintain standards to prevent any loss of Data, including hourly database back-ups, but does not make any guarantees that there will be no loss of Data. Sandman expressly excludes liability for any loss of Data regardless of how it was caused.

Sandman reserves the right to withhold your Data without notice if the termination of subscription is due to non-payment. Upon termination for cause, your right to access or use the Data immediately ceases, and Sandman shall have no obligation to maintain or forward any Data to you.

3. Data Access

The data entered by you is stored securely in a database and is only accessible to authorized users. The account holder or designated administrator ("Administrator") of the Organization will have full control over who is invited to be a User. A user name and password is required in order to access an Organization's information in Sandman.

It is the User's responsibility to keep their passwords safe. It is the Administrator's responsibility to ensure that any Users that are invited to use the Organization's account have permission to view the Organization's information stored in the Sandman account.

It is the Administrator's responsibility to choose the appropriate level of access for Users based on their role and function. User access levels can be changed at any time by an Administrator.

It is the Administrator's responsibility to inactivate Users or block access as appropriate for your organization, for example, if a breach in security is suspected or User leaves your organization.

Sandman does not have access to the User's passwords and are therefore unable to access the Organization's account or data without receiving an invitation from the Administrator.

On request, Sandman will provide the Administrator with a full export of the Organization's data in a common file format determined by Sandman. The Organization's data may be permanently deleted by Sandman 90 days after the Organization stops paying to use Sandman. 

4. System Usage Monitoring

Sandman has access to and may use aggregate information such as number of associated Users, number of transactions and billing information for the purpose of billing and monitoring server and software performance as well as for other internal purposes of Sandman.

Sandman will never access the details of any financial transaction entered and stored in the Sandman system. Sandman will never access system usage history for a specific identifiable user, except where granted permission by the User to assist with resolution of a system issue or error.

Sandman staff can access non-identifying and aggregated usage information and transaction volumes in order to better understand how our customers are using the Sandman system so we can improve the system design and have the system prompt users with suggestions on ways to improve their own use of the system.

5. Data Security

Sandman uses SSL for secure data transmission on the web. However, the internet is not in itself a secure environment. Users should only enter data to the database within a secure environment. This means that the User's browser must support the encryption security used.

6. Credit Card Security

Your credit card details are not stored by Sandman and cannot be accessed by Sandman staff. Your credit card details are tokenized for security by Stripe. Your credit card will not be automatically charged for recurring subscriptions. You may choose to have Stripe securely store your credit card information for future payments using the "Remember Me" option, however if you choose to do so this is an agreement between you and Stripe, and Sandman will not be responsible for the security of your credit card information.

7. Cookies

Sandman uses temporary cookies to keep a session open after a User logs in. These cookies do not contain any information about the User or the Organization and will automatically expire 60 minutes after the session is finished.

8. Policy Revisions

Sandman reserves the right to change this policy at any time and any amended policy will be posted on this website.

9. Terms of Service

All use of software available on this website is subject to Sandman's Terms of Service. www.sandmanbooking.com/terms.php
